Job Summary:

Under the direction of the Procurement Manager and Physical Plant Director, the Fiscal Support Specialist is responsible for providing support and performing fiscal related duties within the Procurement and Physical Plant departments.

 

Duties and Responsibilities:

  • Perform data entry of various information, to internal automated tracking and reporting system or other appropriate system.
  • Create and maintain various worksheets in excel to include, but not limited to, incoming freight, supply orders, building upkeep, monthly vehicle maintenance, tracking inventory assets, and open and closed work orders.
  • Responsible for the College Travel card. Process all hotel, flight, registration bookings for campus and reconciliation of the travel card monthly.
  • Responsible for requisitions and documentation in support of travel for all athletic programs.
  • Validate and verify all outstanding purchase orders monthly.
  • Maintain all imaging processes including scanning/indexing checks and W9’s weekly.
  • Receive incoming freight and mail services as well as process outgoing campus mail daily.  Includes utilizing electronic postage machine and USPS packaging for outgoing parcels.
  • Scan and file documents.
  • Check mail and help organize package delivery to campus in accordance to the work orders.
  • Assist in Procurement and Accounts Payable as needed.
  • Performs other duties as assigned.

Qualifications

Skills and Abilities:

  • Multitasking and prioritizing tasks while providing customer service is required for this position.
  • Work takes place in an office working conditions.  The noise level in the work environment is typical of most office environments with telephones, interruptions and background noises.
  • Energetic and friendly with experience providing administrative support and customer service with excellent written and verbal communication skills.

Required Education and Experience:

The formal education equivalent of a high school diploma.

Minimum of 3 years office experience including understanding of business processes, organized company travel and credit card transactions and reconciliation.

Preferred Education and Experience:

Associate’s Degree preferred.

 Physical Requirements:

The individual must be able to sit for long periods of time. They must be able to utilize computer and office equipment. They must be able to lift up to 20 lbs.
